Front Desk Manager Duties

Front desk managers are primarily employed in the hospitality industry, where they oversee the operations of the front — or reception — desk at a hotel or similar establishment. The person in this position manages front desk clerks, schedules employees and handles employee issues before they escalate to upper management. Managers are expected to handle guest complaints and train front desk staff. A front desk manager also compiles reports for management, including occupancy reports and financial information. In some instances, the front desk manager also serves as a night auditor, collecting and reconciling receipts generated throughout the day.

Front Desk Manager Requirements

One of the first qualifications that a front desk manager should possess is hospitality experience. This requirement can sometimes be satisfied by customer service experience, especially if it is coupled with management experience. Front desk managers need to have some familiarity with hotel booking software and adequate computer skills in common programs such as Microsoft Word and Excel. A candidate for a front desk manager position should have a bachelor’s degree in hospitality, or a related field, and the ability to work varying shifts throughout the week.

Front Office Manager Duties

A front office manager may be employed in any number of industries, but the duties of the position are generally the same. The manager is expected to oversee all aspects of office management, including handling HR functions, filing, completing purchase orders and stocking office supplies. Managers may serve as a receptionist for the company, in charge of answering telephones, transferring phone calls, greeting clients and processing mail. The front office manager may also be asked to do minimal accounts payable and receivables work and payroll. Front office managers can expect to work during normal business hours Monday through Friday with little to no work on weekend days.

The most important skills and qualities of a receptionist include the following:

  1. Friendly personality: A receptionist must be by nature-friendly. A receptionist who is not friendly will simply scare away visitors and potential customers to the business. A receptionist is supposed to be friendly enough to make visitors feel free and relaxed when they visit.
  2. Should be patient: A person must have an extreme amount of patience if they want to work as a receptionist. If you are one who is temperamental or quick-tempered, then the work of a receptionist is certainly not for you. A receptionist, in the course of performing his or her duties, will meet with numerous people from all walks of life. These people all have different characters and behaviours. Some visitors might be highly difficult to handle because they may be temperamental or might find it difficult understanding simple instructions or explanations. This is the reason why receptionists have to be extremely patient and maintain their patients at all times, regardless of how difficult a visitor is. A receptionist has to be calm all the time in order to deal with visitors and clients in the proper way.
  3. Should be able to stay calm in the midst of pressure: Being able to stay calm even though one is under pressure is a very important quality that a receptionist must possess. Sometimes a receptionist job can be very challenging. Customers, visitors, clients can bombard you with a lot of questions, complaints, comments, etc at the same time. It is imperative that the receptionist be able to handle the pressure in a calm and professional way all the time.
  4. Must be smart and have a smart appearance: A receptionist has to be smart in appearance and capable of moving fast from one place to another.
